General Information T&G Speak Up

This Speak Up system is a protected online tool and run on a completely anonymous basis.  You will not be required to reveal your identity unless you choose to do so. If you are unsure about how the  system works, you can ask any member of the T&G Speak Up team to explain further. All your queries will be treated confidentially.

The T&G Speak Up team consists of the following:
 

  • Legal Counsel
  • Head of Risk and Compliance
  • Company Secretary


If you prefer, you can directly approach your  manager, any member of the Executive team or any member of the Speak Up team if you believe that inappropriate behaviour is occurring at or in relation to T&G’s business. Doing so may prevent a small problem becoming a much bigger issue.

If you see or suspect a serious wrongdoing, such as:
 

  • Theft
  • Fraud
  • Dishonesty
  • Harassment

  • Workplace safety and environmental hazards

Disclosure of serious wrongdoing is strongly encouraged by T&G as a means of promoting openness and transparency, protecting personnel in respect of the impact of any serious wrongdoing, protecting the reputation of T&G and managing risk. T&G will support people who, in good faith, disclose such wrongdoing.

Its primary purpose is to enable disclosure of serious wrongdoing within T&G.  It is not intended to replace the standard internal procedures for employment issues or complaints contained in any individual or collective employment agreements.

While we prefer open communication in respect of such matters, sometimes people do not feel comfortable about raising concerns about other people.  This system is to enable people to raise the issue confidentially – without having to disclose who they are and to ensure that there is a formal basis for investigations.

It aims to:

  • Ensure that all personnel feel supported in speaking up in confidence and reporting matters they suspect may involve anything improper, unethical or inappropriate;
  • Encourage improper, unethical or inappropriate behaviour to be identified and challenged at all levels of the organisation;
  • Provide assurance that all disclosures will be taken seriously, treated as confidential and managed without fear of retaliation; and
  • Assist T&G in obtaining, where necessary, legal advice in relation to any such issues raised.

There is no specific list however the more detail that you can provide the better.  When investigating the issue, we will consider the information provided in determining what investigation is warranted.

Your request or notification is sent to an inbox accessible only by the T&G Speak Up team comprising the:

  • Legal Counsel
  • Head of Risk and Compliance
  • Company Secretary


The team will confidentially assess the notification and initiate a response within the online tool. This might also include a request for further information to ensure a correct understanding of the notification. The T&G Speak Up team will also consider obtaining external legal advice if required.

How am I protected if I submit a notification or a query?

How am I protected if I submit a notification or a query?

First of all, when submitting a notification or a query you can choose to remain anonymous. In the T&G Speak Up system, information is exchanged in encoded form. This means that only the T&G Speak Up team can access the system and the content within it. But even the T&G Speak Up team will not be able to see any personal details e.g. IP address or your location.

You can choose to disclose your contact details by entering one of the following in the Speak Up system:  name, telephone number, e-mail address and role within T&G. Only then will the T&G Speak Up team member processing the notification be able to identify you.

If you want a response to your notification or query without disclosing your identity, tick the field “permit response” on the form. The system will allocate a “user token” to your notification which should be noted down, together with the password you choose. The response from the T&G Speak Up team will be placed in a digital inbox which you can access by entering your password and the user token. You also can add new information or adjust the information already provided after your initial report. Without your password and your user token you will not be able to access the inbox.

T&G has a zero tolerance approach to discrimination against anyone. This also applies where the issue turns out to be unjustified or unsubstantiated – unless it was clearly intended to be malicious.

Therefore, prior to making the disclosure you must ensure that you have sufficient information about a serious wrongdoing and:

  • Believe that the information is true or likely to be true;
  • Want that information investigated; and
  • Wish any disclosure of that information to be protected under this Policy and any supporting legislation.

Yes, it is possible to attach files or images.

Please note that files or images often contain hidden data (so-called meta data) which may contain information about the creator of the file or, in the case of images,  the coordinates of the location where the image was taken. Such meta data should be deleted if you really want to protect your anonymity. Help about how to do this can be found on the internet.

Most cases reported are uncovered through tips from honest people who are not sure of their facts. This is absolutely fine . It’s better to investigate and find nothing wrong, than let a situation go, only for it to escalate later. Reporting what you do know is enough.

If your notification or query leads to the discovery that you have also acted inappropriately, this will not protect you against what would normally be consequences under your employment contract, employment or other laws. When considering consequences, T&G will take into account the fact that you have provided information towards clarifying the relevant behaviours and assisting T&G in relation to preventing further similar incidents occurring.

Whether there is an investigation depends on a number of factors including the information provided, the details, documentation and T&G company policy. The T&G Speak Up team will decide what action is required when they receive the notification.

Yes, your queries and notifications will be stored permanently in the T&G Speak Up system, together with:

  • The T&G Speak Up team members‘ assessment of the notification / query
  • The response provided to you;
  • Actions taken and the results of further investigations (if any);
  • Preventive measurements to avoid potential misconduct to happen again.


All storage of information will be in accordance with relevant data protection laws and T&G’s data protection policy. A copy of this policy can be found at the bottom of this page.

Feedback from the T&G Speak Up team can be provided to you by ticking the box  “permit response“ when entering your notification in the T&G Speak Up. Without you ticking the “permit response“ box we are not able to keep you informed on progress and outcome.

This will depend on whether the T&G Speak Up team believes that the notification warrants a more detailed investigation and/or whether the notification may prejudice or put others at risk. The source will not be revealed unless legally required.  The timing of the notification may depend upon the issue raised and whether further investigation is required first.

No.  The T&G Speak Up team members and any other persons involved in processing the notification are subject to strict confidentiality.

T&G follows up on all queries and notifications and the T&G Speak Up team members may require further information to confirm matters further e.g. a reported misconduct.

Are third party regulators or law enforcement authorities able to view my notification or query or the results of further research?

Are third party regulators or law enforcement authorities able to view my notification or query or the results of further research?

Government authorities are entitled to access all information held by T&G within their investigative powers. For example, within the context of an official investigation by cartel authorities, they may require all related documents within the control of T&G to be surrendered, and may also conduct a search in that respect.
