Data Protection Information on T&G Speak Up Whistleblower System

We have set out below how we deal with your personal data arising out of the Speak Up System.
1. Personal data and its use
Personal data is collected and processed only if you yourself pass on such data within the context of your information to T&G.
The further use of this data is within the scope of the statutory regulations on processing your information.
All data within the speak up system is encrypted; access is restricted to a very small circle of explicitly authorised people at T&G – being the T&G Speak Up team.
If it is necessary for resolving the situation, the necessary amount of personal data may be transmitted to individual, carefully selected people within T&G. Any person given access to the data is required to maintain particular confidentiality. There are no plans to pass the data on to third parties unless that disclosure is required by law.
Please note that in certain countries, the acceptance and processing of anonymous information is permitted only when it is about information on violations of internal accounting controls, corruption, competition law or violations of human rights and environmental affairs (so-called "hard factors"). If you have information on simpler circumstances or so-called "soft factors", the processing of anonymous information is simply not possible.
Storage and deletion
Personal data is stored at T&G for however long it is necessary to resolve and finally evaluate the information. Following the conclusion of the reviews, the personal data will be deleted within a reasonable period of time and in compliance with statutory regulations.
If statutory provisions or instructions from government bodies make it necessary, personal data can be transmitted to them.
Data transmission and logging for system-internal and statistical purposes
For technical reasons, your Internet browser automatically transmits data to the web server of the Whistleblower System when the T&G Speak Up System is accessed. This information includes the date and time of access, quantity of data sent, browser type and version, operating system and your IP address. This data will (in contrast to other Internet offers) not be stored in the T&G Speak Up System so that this data cannot be assigned to a specific person.
The T&G Speak Up System uses only one session cookie that does not store personal data. Beyond that, no other cookies will be applied.

Under the data protection regulations, you are entitled to free information about the data we have stored about you and, where appropriate, a right to correction, blocking or deletion of this data. Data where statutory archiving deadlines counter correction, deletion or blocking is excluded from this.

4. Changes to the data protection declaration
If necessary, we will update this data protection declaration as a result of current circumstances, such as a change in the relevant data protection provisions.
If you as a user avail yourself of the T&G Speak Up System anonymously, no personal data will be saved or processed. Personal data is collected and processed only if you yourself pass on such data within the context of your information to T&G.
